Build clear instructions and short-form videos guests can use on their own.

Your manual answers common guest questions before they ask, including details that are easier to show in video.

When to use it

Use this after adding a property and whenever house info changes.

Steps

  1. If you are new to StayPerk, open Create digital manual on the public site. You can use the full editor, add photos or short videos, create custom sections, and review live Public and Private app previews without an account. Secure server autosave begins when you first change a field, save in the editor, or change media. Starting an account also saves real work for handoff, while an untouched preview goes directly to signup without creating an empty draft record.
  2. Choose Save manual whenever you want to save the anonymous draft immediately in this browser; it does not publish the manual or interrupt you with an account prompt. When you are ready for a permanent guest link, choose Publish Manual, then Continue to publish. The draft stays private until you explicitly publish it.
  3. On Save your guest manual, choose Host workspace or Property manager workspace on the same page. Continue with Google or email, or use Already use StayPerk? Sign in. The email path uses one password field with Show or Hide; after email verification, StayPerk resumes the same manual transfer. If secure transfer is unavailable, the draft stays in the current browser and the dialog clearly offers Retry or Create account without draft.
  4. If you already have a manual, open Convert manual and choose up to 10 PDF, DOC, DOCX, TXT, JPG, or PNG files. Confirm the selected filenames shown below the button, or use Clear files to choose again. You can submit an existing-manual link instead, and no login is required.
  5. Keep the conversion confirmation reference. The converted draft stays private and unpublished until you claim it with the verified email used on the request.
  6. Open Properties, then choose Manuals.
  7. Select Add manual, choose a property when prompted, then continue to the editor.
  8. On the property row, choose More actions, then select Edit manual.
  9. Optional: open Actions and choose Fill sample data to prefill all sections quickly. Sample Wi-Fi credentials and entry codes start as Private, so review the Private preview before replacing them with real instructions.
  10. Fill key sections like check-in, Wi-Fi, and rules. Early check-in and late checkout policies are optional; leave them on Don't mention unless you offer one. Missing Wi-Fi details are a reminder and never stop you saving.
  11. Open Rooms in the manual navigation to add each guest room or area, choose its visibility, and connect amenities to the correct room.
  12. In Check-in or Check-out, use Create add-on beside the early or late policy to open a scoped add-on creation flow in a new tab.
  13. Add photos or short-form videos where visual guidance makes the stay easier to understand.
  14. For Parking, add the instruction shown beneath each selected option. Guests and the PDF receive those option-specific directions when Parking is Public; a Private Parking section remains locked behind the manual access code.
  15. Photos and Videos show media uploaded for the property you are editing. Upload an image or video separately for another property; that property has its own video upload allowance.
  16. In Videos, use Upload videos to pick up to 20 videos up to 250 MB each. StayPerk uploads them one at a time, shows queue and processing status for each file in the media library, and compresses them for mobile guest playback; edit the internal title for your own library and press Enter or click outside the field to save it, use Show in manual to include or hide each ready video, and move videos up or down to set the guest order.
  17. The manual editor uses the whole window: the app menu hides while you edit, and the menu button beside the property name opens it. On wide screens a Guest view beside the form shows the real guest manual, with its menu, sidebar and services, as you last saved it; it opens the section you are editing, switches between Public and Private, and reloads after each save. Use Previews to review the current draft before publishing. Mobile renders the draft you are editing, including the selected Public or Private view; View manual in desktop appears after the manual has a published guest URL.
  18. PDF manuals has a separate design preview with public content only. Private app preview selection never adds private content to a printable.
  19. When a video is attached inside an amenity or another manual section, guests can select the centered Play video button on its thumbnail; browser-native video controls remain available after playback starts.
  20. Paste a standard YouTube watch, short, Shorts, embed, or live link to show the video inside the guest manual.
  21. Choose Add custom section in the manual navigation to create as many standalone sections as you need, such as Local guide, What to bring, accessibility notes, family tips, or seasonal information.
  22. Every section can be moved: drag it by its handle in the section list, or focus the handle and press the up or down arrow key. Guests, previews and the Welcome Book PDF follow this order.
  23. Give each custom section its own title and choose from the 40-icon grid. Hover or focus an icon for its tooltip. A new section starts as Custom 1, Custom 2, and so on; when its first block has a block title, that title automatically becomes the section title unless you replace it.
  24. Each custom content block has a compact action row for Attach photo, Attach video, Move up, Move down, Edit, and Remove. Attached media is inserted directly after that block. The photo picker stays open, so you can attach several photos (or upload a batch) and then choose Done.
  25. To change how big an attached photo appears, choose Edit on the photo and pick Full width, Medium or Small. The size applies to the guest manual and the Welcome Book PDF, and the whole photo is always shown.
  26. Each section is a short list of steps, one at a time. Every step shows its answer on one line (for example After 3:00 PM or Don't mention it); choose a step to open it, and Next moves to the following one. The first unanswered step opens for you. Photos, the section title and who can see the section are the last steps. Check-in and Check-out ask when guests can arrive or need to leave, how they get in, and whether to mention early check-in or late checkout. Early check-in and late checkout are each one dropdown. Ways in and checkout tasks are short lists: choose Add a way in or Add a task to pick a suggestion, and remove an item with its X. In Add a task you can also type your own task and press Enter or Add; your own tasks stay editable in the list. Lockbox and keypad details appear under their row and stay private until a guest enters the access code, unless you make them public.
  27. Wi-Fi, Parking, Directions and House rules work the same way. For Wi-Fi, say whether there is Wi-Fi, add the network name and password, choose the security type, and add the tips guests should try if it stops working; the QR code and its design options are in the same section. For Parking, use Add parking for every place guests can park and add details under each one.
  28. In any text field, choose Photo in the formatting bar to place a photo from your library exactly where the cursor is; it appears there in the guest manual and in the Welcome Book PDF. Choose Link to link selected text to a web page, another section of this manual, a phone number or an email address. Section links open that section in the guest manual and jump to its page in the PDF.
  29. You can paste text from Word, Google Docs or a web page. Headings, lists, bold, italics, links and tables are kept; the source’s fonts, sizes and colours are removed so the text matches your manual. Photos from other websites are left out: add photos from your library with Photo.
  30. Attach video always opens the existing library, even when all 20 upload slots are used. At the limit, existing ready videos remain selectable and only new uploads are disabled.
  31. Each enabled custom section appears as its own item in the guest manual navigation and remains available in app previews and PDF manuals, published manuals, and PDF downloads.
  32. To resize an inserted image, click the image in the editor, then use the ruler icon to set width percent; changes apply immediately.
  33. After changing Wi-Fi QR design options, use Save section to keep the same QR style for guests.
  34. Save and publish.
  35. For existing published guest-download links, saving changed manual content schedules Public and Private PDFs in both Letter and Phone PDF sizes two minutes after the latest changed save. Further changed saves restart the delay; unchanged PDFs are reused. Opening the editor or typing without saving does not generate PDFs.
  36. In Actions, choose Generate digital-manual PDF to export this digital manual in all four saved formats immediately. Unsaved manual edits are saved first. You can keep editing while generation runs; progress appears in the header, and Retry generation is available after a failure. Generation continues after you close the editor.
  37. Choose a paper size and review the printable preview before downloading. Changing designs preserves shared manual details; hiding a printed page does not delete its content from the app manual.
  38. Previews shows the app manual in Public or Private mode. PDF manuals replaces Letter and Phone PDF choices with the 16 Welcome Book and sign designs. Shared wording and Wi-Fi edits update the same app and PDF draft, including an existing Wi-Fi QR code. Clearing the network removes its old QR code. Typography, colours, paper size, print ordering and inclusion are separate. Hiding a printed page does not delete its manual content. The Welcome Book PDF keeps your headings, numbered steps, bullet lists, photos (uncropped, with captions) and links, which are clickable in the PDF. Sections run on like chapters of a booklet: a new chapter starts on a fresh page only when the current one is mostly full, and a heading is never left alone at the bottom of a page. Continuation pages carry a short running title. Short labelled details such as check-in and check-out times print together in a facts row, lists keep a hanging indent, and links are underlined so they still read as links in black-and-white print. A clickable contents page with page numbers and bookmarks follows the cover once a book has three or more sections, and the page number on each page opens the contents. A short note on the contents page tells readers on a phone or computer to tap an entry; it is shown on screen and left out when the PDF is printed. New books use US Letter for properties in the US and Canada and A4 elsewhere. Without a property photo, the cover is typographic, with the property name set large at the centre of the page. Every book ends with a thank-you page in the design’s own style; once the manual is published, it also carries a QR code that opens the live guide. Two photos placed one after another print side by side on wide pages, and every photo has rounded corners. The preview in PDF manuals shows exactly the pages that download, including the contents page numbers. Signs print the same headings, lists and photos on one sheet: text steps down to a readable minimum to fit, and if a section still needs more than one sheet at the chosen size, PDF manuals says so and suggests a larger paper size.
  39. Downloaded manual PDFs use the property name in the file name.
  40. On Manual home, the Property image card shows the current image. Choose Add property image (or Change property image) to open property settings in a new tab, select Upload image and save the property. The image on Manual home updates when you return to the editor tab. This cover image is separate from section photos in Photos. Without a cover image, the Welcome Book uses a designed cover with the property name.
  41. On existing published guest-download links, a guest downloads the Public PDF before entering the access code and the Private PDF after successfully unlocking the manual. Private downloads include public content and the private details their access allows. Phone screens automatically receive the Phone PDF; wider screens receive Letter. A changed manual temporarily has no current download while its replacement builds.
  42. Save manual and Save section respect the Active switch. Saving while Inactive keeps the manual unavailable to guests; select Active and save when ready to publish.

What to expect

  • Uploading or saving a video, renaming or reordering it, changing Show in manual, or deleting it does not activate an inactive manual. Only turning on Active or using an explicit Publish action makes the manual active.
  • Photo and video upload or processing status appears in the editor media library. StayPerk does not send photo or video upload success or failure emails.
  • Guests see your published manual content, including a Videos section with a muted vertical swipe feed when visible videos are saved and published. On desktop, use Previous video or Next video; touch devices can also swipe.
  • Videos embedded in manual sections show an explicit play control over the thumbnail.
  • Custom sections are not capped at a preset count, and each one keeps its selected navigation icon.
  • Saved custom sections keep their green status indicators while you work in a different section.
  • Private manuals require the access code before guests can play the video feed.

Common problems

  • If the editor says your sign-in session is not ready, refresh once and sign in again. The authenticated editor waits for Firebase to restore your account before loading manual data.
  • If a photo or video row appears failed or stuck, refresh the editor and check its status in the media library. If it remains failed or stuck, delete that row and re-upload the file. StayPerk does not send a separate upload failure email.
  • If PDF generation fails, choose Retry generation. PDF status shows the generation or download last checked in this editor; include the displayed error when contacting support. PDF status and Generate PDFs require the manual to belong to an account.
